What we collect, why we collect it, who processes it, and how you stay in control — without the legalese fog.

The short version

Kounterr (“we”, “us”), operated from Saharsa, Bihar, India, runs kounterr.com and the Kounterr app (app.kounterr.com). This policy explains what personal data we collect, why, who processes it for us, how long we keep it, and the rights you have — in line with Indian law, including the Digital Personal Data Protection Act, 2023.

  • We collect what we need to run a POS service for your business — nothing more.
  • We never store your card, UPI, or bank credentials; Razorpay handles payments.
  • We do not sell your data, and we do not run third-party advertising trackers.
  • Your business data is yours: export it anytime, and it is deleted 90 days after you cancel.

Data we collect

Account data. When you sign up we collect your name, email address, and phone number through our authentication provider (Clerk).

Business profile. Details of the business you register: business name, legal name, GSTIN, PAN, address, city, state, pincode, and billing contact — used on your invoices and for your subscription.

Operational data. The records you create while running your shop: products, inventory, orders, invoices, payment entries, supplier records, staff accounts, and any bill photos you upload.

Your customers’ data. Names, phone numbers, email addresses, GSTINs, and addresses of the customers you bill. You control this data; we process it only to provide the Service to you (see “Your customers’ data” below).

Technical basics. Standard server logs (IP address, browser type, timestamps) needed to keep the Service secure and reliable. The website and app set only essential cookies — login sessions and security — and we currently run no third-party analytics, advertising SDKs, or tracking cookies.

Payments — what Razorpay sees, what we don't

Subscription payments are processed by Razorpay, an RBI-regulated payment aggregator. When you subscribe, Razorpay receives the details needed to process your mandate and charges — your name, email, phone, and payment instrument.

Kounterr never receives or stores your card number, UPI PIN, or bank credentials. We store only what we need to manage your subscription: a Razorpay customer reference, your subscription ID, plan, and billing status.

How we use your data

  • To provide the Service: orders, invoices, inventory, reports, order-tracking pages.
  • To bill your subscription and send you billing-related communication.
  • To support you when you write to us or message us on WhatsApp.
  • To send service messages that affect your account (trial ending, payment failed, important changes).
  • To keep the platform secure — fraud prevention, abuse detection, debugging.

We do not sell personal data, and we do not use your business data to advertise to your customers.

Who processes data for us

We use a small set of infrastructure providers, each receiving only what their role requires:

  • Clerk — authentication and account identity (name, email, phone, login sessions).
  • Supabase — our database and file storage, where your business records and uploaded photos live, isolated per business at the database level.
  • Razorpay — subscription billing and payment processing.
  • Cloud hosting providers — the servers that run the website and app.

These providers act under contracts that restrict their use of your data to providing their service to us. Your business records are stored in India (Mumbai region); some providers — such as our authentication service — may process account details (name, email, phone) outside India, as permitted under Indian law.

Your customers' data

For the customer records you keep in Kounterr, you are the data fiduciary and we act as your processor: we store and process those records only to run the Service for you, on your instructions. You are responsible for having the right to store your customers’ details and for honouring their requests — if a customer asks you to correct or delete their record, you can do that directly in the app.

How we protect it

  • Encryption in transit (TLS) and at rest.
  • Tenant isolation enforced at the database level with row-level security — other businesses cannot query your data.
  • Daily backups, so a mistake or failure doesn’t cost you your records.
  • Access to production systems is restricted and audited.

No system is perfectly secure, but if we ever discover a breach affecting your personal data, we will notify you and the authorities as required by law. More detail lives on our Security page.

Retention and deletion

  • Active accounts: we keep your data for as long as your account is active.
  • After cancellation: your records remain read-only for 90 days so you can export them, then they are deleted from our production systems (backup copies age out on the backup schedule).
  • Account deletion: ask us at support@kounterr.com and we will delete your account and personal data, except records we must keep under Indian law (for example, our own tax and billing records).
  • Export: you can export your orders, invoices, and customers to CSV from the app, or request a full export from support.

Your rights

Under Indian data-protection law you can:

  • ask what personal data we hold about you and get a copy;
  • have inaccurate data corrected or incomplete data updated;
  • ask us to delete your personal data (subject to legal retention duties);
  • withdraw consent where processing is based on consent;
  • nominate a person to exercise these rights on your behalf if you are unable to;
  • raise a grievance and, if unresolved, escalate to the Data Protection Board of India.

To exercise any of these, write to support@kounterr.com with the subject “Privacy request”. We aim to acknowledge within 72 hours and resolve within 30 days.

Changes and contact

If we change this policy in a way that matters, we will tell you by email or in-app before the change takes effect. The “Last updated” date at the top reflects the current version.
